Privacy Policy

The short version. We collect what we need to plan, book, and run your trip — and nothing we can't explain. We never sell your personal information, we never see your full card number, and you can ask us to correct or delete your data at any time.

1. Who we are

Adventourist Travel LLC (“Adventourist Travel,” “we,” “us”) is a travel company based in the Bronx, New York. This policy covers adventouristtravel.com, your member dashboard, and the emails and documents we send you. It does not cover websites run by airlines, hotels, cruise lines, or other suppliers, which have their own policies.

2. Information you give us

Account and profile

  • Name, email address, phone number, and your password.
  • Date of birth, additional contact emails, phone numbers, and mailing addresses you add.
  • Travel preferences — flight seating, lodging and cruise cabin choices, activities, food and drink notes, dietary needs, and labeled special dates such as an anniversary.

Health and safety information

Your profile includes optional medical fields: medical notes, blood type, medications, vaccinations, mobility needs, medical equipment, your physician's name and phone number, and your travel insurance provider, policy number, and emergency line. This is sensitive information. We collect it only so we can run trips safely, request the right accommodations, and respond in an emergency — and we share it only as described in section 5. Leaving these fields blank does not affect your booking, though it may limit what we can arrange for you.

Travel documents

Passport details for you and any companion you add — passport number, surname and given names, sex, nationality, date and place of birth, issuing authority, and issue and expiration dates — along with passport images and any other documents we ask you to upload, such as visas or vaccination records.

Emergency contacts

The name, relationship, and phone number of the people you list. Please tell them you have shared their details with us and why.

Bookings, payments, and add-ons

The trips you book, number of travelers, travel dates, booking reference, your installment schedule, the payments recorded against it, and any add-ons you purchase such as excursions, transfers, meals, visa services, or insurance.

Signatures

When you sign a waiver or agreement electronically, we store the signature image you draw or type, the name you signed under, your agreement to sign electronically, and the date and time — together with a copy of the signed document.

Messages

What you send us by contact form, email, phone, or social media, and the email address you give us if you subscribe to our newsletter.

3. Information we collect automatically

We run our own basic page-view counting so we know which pages are useful. When you load a page we record the page path, the site you arrived from, your browser's user-agent string, the time, and — if you are signed in — your account. We do not store your IP address with those records, and we do not count prefetches, bots, or file requests. Our hosting and security providers may log IP addresses briefly to keep the service running and to block abuse.

We use two kinds of cookies and no others. Essential cookies keep you signed in and protect your session; without them the dashboard cannot work. One first-party analytics cookie, named av_id, holds a random identifier so a returning visitor is not counted twice. It is not tied to your identity unless you are signed in, and it is never shared. We do not use advertising cookies, third-party trackers, or cross-site profiling, and we do not receive personal information from data brokers.

4. How we use your information

  • To create and secure your account, including two-factor sign-in.
  • To quote, book, and run your trip — including passing what suppliers require to ticket and host you.
  • To take payments, track your installment plan, and send receipts.
  • To send trip documents, signature requests, reminders, and service updates about bookings you have made.
  • To answer your questions and provide support before, during, and after travel.
  • To run our rewards program — points, tiers, and member benefits.
  • To keep the site secure, prevent fraud and abuse, and keep an internal record of account and booking activity.
  • To meet tax, accounting, insurance, and other legal obligations.
  • To send marketing emails, only where permitted — every one has an unsubscribe link, and opting out never affects a trip you have booked.

5. When we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only in these situations:

  • Travel suppliers. Airlines, hotels, cruise lines, ground operators, guides, transfer companies, visa services, and insurers need traveler names, passport details, dates of birth, contact details, and — where relevant to safety or accessibility — the health information you gave us. Once shared, they handle it under their own privacy policies and the laws of their country.
  • Service providers who run our systems. Supabase (database, file storage, and sign-in), Stripe (payments), and Resend (email delivery), plus our hosting provider. They act on our instructions and may not use your data for their own purposes.
  • Professional advisers — accountants, insurers, and lawyers — where they need it to advise us.
  • Legal and safety. Where the law requires it, or to protect the rights, property, or safety of travelers, our staff, or the public. Border and immigration authorities may require traveler details as a condition of entry.
  • Business transfers. If the company is sold or reorganized, your information may transfer with it, subject to this policy.

6. Payment information

Card payments are processed by Stripe on Stripe-hosted checkout pages. Your card number, expiry, and security code go directly to Stripe — they never touch our servers, and we cannot see or store them. We keep the amount, date, payment method type, and status so your booking balance and receipts are accurate. Where a buy-now-pay-later option is offered at checkout, that provider is a separate company with its own terms and privacy policy.

7. How we protect your information

Traffic to the site is encrypted in transit. Data is stored in access-controlled systems where per-account database rules restrict each customer to their own records, uploaded files live in private storage that is not publicly listable, staff access is limited to those who need it, and account and admin actions are logged. Two-factor authentication is available on your security page and we recommend turning it on. No system is perfectly secure, so please use a strong, unique password and tell us immediately if you think your account has been accessed by someone else.

8. How long we keep it

  • Account and profile data — while your account is open, and for a reasonable period afterward in case you return.
  • Bookings, payments, and signed documents — at least seven years after the trip, for tax, accounting, insurance, and liability reasons.
  • Passport and health details — while they are needed for trips you have booked or are planning. You can clear them from your profile yourself, or ask us to remove them.
  • Page-view records — up to 24 months, then deleted.
  • Marketing lists — until you unsubscribe.

9. Your choices and rights

You can view and edit most of your information yourself from your dashboard profile, including preferences, passports, emergency contacts, and medical fields. Beyond that, you can ask us to:

  • tell you what personal information we hold about you;
  • correct anything that is wrong;
  • delete your account and personal information, except records we must keep by law;
  • send you a copy of your data in a portable format; or
  • stop sending you marketing.

Email info@adventouristtravel.com and we will respond within 30 days. Depending on where you live you may have some of these rights by law; we extend them to every traveler regardless of where you live, and we will not treat you differently for exercising them. If you are unhappy with our response, you may complain to your state attorney general or data protection authority.

10. Children

Our site and accounts are meant for adults. We do not knowingly collect personal information from children under 13 directly. Details about a minor traveling with you are provided by the adult booking the trip. If you believe a child has created an account, contact us and we will remove it.

11. International travel and transfers

Travel is international by nature. When you book a trip abroad, your information is sent to suppliers and authorities in the destination country, whose privacy laws may differ from those in the United States. Booking a trip is your instruction to us to make those transfers so the trip can happen.

12. Changes to this policy

We will update this page when our practices change and revise the date at the top. If the change is significant, we will tell account holders by email. Continuing to use the site after an update means you accept the revised policy.
